Booking, Payment, & Cancellation Policy

To ensure complete transparency and a hassle-free experience for our guests, we have established the following payment and cancellation guidelines.

1. How Payments Work

  • Securing Your Reservation: To officially lock in your tour dates, we require an initial deposit. The exact deposit amount varies based on the type of tour you select and how close your booking is to the departure date.

  • Paying the Balance: The remaining balance for your trip is due on the very first day of your tour.

  • Contract Agreement: A binding contract is only formed once we have successfully received your deposit and issued a formal confirmation email.

  • Lead Traveler Responsibilities: The person who books the tour (the lead traveler) automatically accepts these terms and conditions on behalf of everyone in their party. All future communications, including modification or cancellation requests, must be submitted by this lead traveler.

2. General Refund & Cancellation Guidelines

  • How to Cancel: All cancellation requests must be submitted in writing via our online contact form. A cancellation is only considered valid once our team acknowledges and confirms receipt of your message.

  • Refund Processing: If your cancellation qualifies for a refund, the funds will be returned directly to the original credit card used for the deposit. Please keep in mind that banking transfer speeds are outside of our control and may cause slight delays.

  • Calculation of Dates: All cancellation windows are calculated based on your originally scheduled departure date.

  • Reservation Fees: Approved refunds will cover the deposit amount minus any non-refundable reservation or processing fees.

3. Policy for Private Tours

Cancellations for private itineraries are subject to seasonal rules, which go into effect the moment we receive your written notice.

Low & Medium Seasons (January 5 – February 28 | June 1 – September 30 | November 1 – December 20)

  • 7 Days or More Notice: You are entitled to a full refund of your deposit, or you may choose to keep 100% of the deposit as a credit toward future travel.

  • 6 Days or Less Notice: Your deposit becomes entirely non-refundable.

High Seasons (March 1 – May 31 | October 1 – October 31 | December 21 – January 4)

  • 15 Days or More Notice: You are eligible for a 100% refund of your deposit, or you may apply it as future travel credit.

  • 14 Days or Less Notice: Your deposit is strictly non-refundable.

4. Policy for Shared Group Tours

If you have booked a spot on one of our small shared group tours, the following rule applies:

  • 2 Days or Less Notice: Any cancellation made within 48 hours (2 days) of the scheduled departure will incur a 100% cancellation penalty, meaning no refunds will be issued. (Written notice is still required).
